Service Description

UIndy Google Apps for Education is a set of communications and collaboration applications hosted by Google Inc. on behalf of University of Indianapolis. UIndy Google Apps for Education is offered by Google to the University in accordance with a specific, academically-targeted, end-user license agreement designed to protect the privacy and security of information owned by University of Indianapolis and the members of its community, guaranteeing that Google will not access or re-use information stored in these applications for its own, commercial purposes.

General Terms

In October 2013, University of Indianapolis began to offer Google accounts to UIndy full-time and part-time students registered in a degree program, faculty, administrators and staff. This Terms of Use and Support document explains the terms of service and user obligations when utilizing UIndy Google Apps for Education. UIndy expects that UIndy Google Apps for Education users for all service offerings will employ reasonable and appropriate safeguards concerning the information they transmit and store. In all instances, this Terms of Use and Support augments and reinforces (1) all federal, Indiana State, local, and other applicable law; (2) all University rules and policies; and (3) all applicable contracts and licenses.

Violations could result in loss of privileges or disciplinary action. Sending abusive or threatening communications via email or other communications means can even result in criminal charges against the sender. UIndy may add or delete Google service offerings from time to time and reserves the right to change, at any time, at its sole discretion, the provisions of the service and these Terms of Use and Support. In order to use Google Apps for Education as provided to UIndy, all users must be aware of, agree to, and adhere to the following:

 

  1. When utilizing UIndy Google Apps for Education services, you are bound by the all University policies regarding technology and social media.
  2. Anyone in the UIndy community utilizing UIndy Google Apps for Education services must agree and adhere to the Google Terms of Service. In all cases, Google’s Privacy Policy governs.
  3. Content stored in the UIndy Google Apps for Education is not accessible upon separation from the University, and Information Technology is not able to recover content stored in Google Apps after separation from the University.
  4. Core Apps are covered under the UIndy Google Apps Terms of Use and Support. Commercial Apps, which include all other Google services, are not covered under the UIndy Google Apps Terms of Use and Support but instead are covered under Google Terms of Service and Google’s Privacy Policy governs.
  5. Anyone in the UIndy community utilizing UIndy Google Apps for Education services must be aware that their data may be stored in data centers outside the borders of the United States.
  6. As stated in the University’s Network & Systems Usage Policy, anyone in the UIndy community utilizing UIndy Google Apps for Education services acknowledges that the University has the authority to monitor, use or disclose their data under appropriate circumstances, and that Google provides the University the ability to do so. Any access of information stored on your account will follow the standards established in the current University practice which can be found in the Network & Systems Usage Policy
  7. Anyone in the UIndy community utilizing UIndy Google Apps for Education services must acknowledge that Google can terminate their account if they fail to abide by the Google Terms of Service.

Support Terms

The Technology Support Services Help Desk will provide substantive support, to the best of its ability, for the Core Apps of UIndy Google Apps for Education, while offering limited, best-effort help and advice on the large set of linked Commercial Apps. Students and employees may expect the following support for the Core Apps:

  • UIndy account-related problems that directly impact access to Google Apps for Education core services (e.g. account creation, password reset)
  • Understanding the settings options in each of the Core Apps, so that the services can be customized as desired by individual students and employees
  • Understanding sharing permissions as they apply to each service, so individual students and employees may control access to data stored in the services
  • Locating appropriate documentation for setting up mobile devices
  • Assistance for employees in installing approved desktop software on University-owned computers that enhances the employees use of Google Apps for Education Core services
  • Creation of and access to generic email addresses that follow the University of Indianapolis Communications Policy or have been approved the Digital Communications Group
  • Creation of and access to email lists (Google Groups) that have been approved
  • Assistance to supervisors to transfer ownership of content where applicable and when possible
